Job Duties:

Works independently to provide administrative and secretarial support of a responsible and confidential nature and performs document control and records management activities to help ensure the smooth functioning of the branch. Duties require accuracy judgment a high degree of initiative discretion diplomacy and knowledge of protocol. Anticipates changing priorities and problems. Adheres to and supports the use of company policies and procedures and good industrial and office safety practices.

Senior level administrative position working independently primarily supporting the Acquisitions Branch Manager and the Subcontracts Manager within the branch and providing support to Subcontract Administrators within the branch.

Receives and screens phone calls directing them to the appropriate parties. Ensures coverage in absence.

Composes and distributes correspondence using standard word processing systems or other software applications. Keeps abreast of key issues commitments and priorities of manager.

Supports the Subcontracts group with invoice processing and resolution maintaining self-assessment and proforma documentation and overseeing filing and archiving subcontract folders and documentation.

Researches information and compiles briefing charts summary reports and other presentation materials.

Performs as a GpiLearn Administrator tracking/assisting employees in completing training requirements and maintaining other training documentation.

Schedules meetings appointments and coordinates travel arrangements as needed including preparation of expense reports.

Maintains office supplies ensuring supplies are available when needed.

Collects reviews and distributes incoming hard copy and electronic mail. Independently handles mail not requiring the managers attention. Reviews outgoing mail to ensure accuracy and proper format. Follows up to ensure action.

Develops and guides the implementation of procedures and filing and record-keeping systems including performing data entry and records management function.

Maintains branch organization chart

Supports interview scheduling on-boarding new hires (DD2875 and applications) and workstation equipment ordering.

Supports development of metrics to improve workflow efficiency and staffing.

Determines action on important or emergency matters or knows whom to contact in absence of manager.

Performs other duties as required.

It is a condition of employment to wear company issued PPE (Personal Protective Equipment) in accordance with supervisory direction and company policy.

Basic Qualifications:

High school diploma or equivalent plus six years of applicable experience or any equivalent combination of applicable education and experience.

Current US citizenship required.

Preferred Qualifications:

Excellent oral and written communication skills.

Thorough knowledge of: grammatical rules spelling punctuation required formats technical vocabularies and terminology common to the assignment document control and records management systems and common office procedures and professional telephone practices.

Strong organizational skills.

Demonstrated skill in word processing and composition and operation of standard computerized systems and other information transmission systems.

Effective leadership skills.

National Aerospace Solutions is a limited liability company comprised of Bechtel National Inc. (as lead company) and Sierra Lobo Inc. with teaming Subcontractors nLogic Inc. and Chugach Federal Solutions Inc. AEDC operates more than 55 aerodynamic and propulsion wind tunnels rocket and turbine engine test cells space environmental chambers arc heaters ballistic ranges and other specialized units located in six states. Many of the complexs test units have capabilities unmatched elsewhere in the United States; some are unique in the world. AEDC is one of three installations which are part of the Air Force Test Center (AFTC) one of six subordinate commands of the Air Force Materiel Command organization and an important national resource.

AEDCs mission is to conduct developmental test and evaluation for the Nation through modeling simulation ground and flight test. Execution of the mission requires a large team of highly qualified and dedicated professionals from multiple technical disciplines to effectively accomplish the objectives of our test customers.
